Data Deletion Instructions

Overview
Riva (also referred to as Rivabase, and provided at rivabase.ai) is operated by Itisthatis Labs (OPC) Private Limited, CIN U63122KA2025OPC208029, registered at VO-378, WeWork-Vaishnavi No78/9, WeWork-Vaishnavi, Bellandur, Bellandur, Bengaluru, Bengaluru Urban, Karnataka, 560103. “Riva” and “Rivabase” refer to the same service, operated by the same company.
This page explains how to request deletion of data held by Riva. It applies to two groups: tattoo studios who use Riva, and members of the public who have messaged a studio and interacted with Riva.
If you are a member of the public (a “Lead”)
You may have interacted with Riva if you sent a direct message to a tattoo studio on Instagram or WhatsApp and received an automated reply.
What we may hold about you
- Your Instagram username, user ID and profile picture, as provided by Meta
- The content of your conversation — tattoo style, placement, size, budget range, availability
- Any reference images you shared in the conversation
- Timestamps of your messages
How to request deletion
Email r@rivabase.ai with the subject line “Data Deletion Request”.
Please include:
- Your Instagram username or WhatsApp number
- The name of the studio you messaged, if you remember it
- The approximate date of your conversation
We use these details only to locate your records.
What happens next
- We acknowledge your request within 3 business days
- We delete your conversation records, messages, reference images and lead record within 30 days
- We email you at the address you contacted us from to confirm deletion is complete
What we cannot delete
- Messages held by Instagram or WhatsApp themselves — those are controlled by Meta, and you should delete them in the app
- Records the studio has saved outside Riva — contact the studio directly
- Anonymised, aggregated statistics that no longer identify you
If you are a tattoo studio using Riva
Option 1 — Disconnect your accounts
To stop Riva accessing your Instagram or WhatsApp data immediately, revoke the permission at source:
Instagram: Settings → Website permissions → Apps and websites → Riva → Remove
Facebook: Settings & privacy → Settings → Business integrations → Riva → Remove
Revoking access stops all further data collection at once. It does not delete data we already hold — for that, use Option 2.
Option 2 — Request full deletion
Email r@rivabase.ai with the subject line “Data Deletion Request” and include:
- Your registered business name
- The email address on your Riva account
- Whether you want your account closed entirely, or only lead data deleted
What gets deleted
- Your account, profile and business details
- Access tokens for connected Instagram and WhatsApp accounts
- All lead records, conversations, images and intent scores
- Usage and activity logs
Timeline
- Acknowledgement within 3 business days
- Deletion completed within 30 days
- Written confirmation by email once complete
Export first. Deletion is permanent and cannot be reversed. Download anything you need before submitting your request.
Data we are required to retain
We must keep certain records even after a deletion request:

These records are kept in restricted storage, are not used for any operational purpose, and are deleted once the retention period ends.
Automatic deletion
Even without a request, we delete data on the following schedule:
- Lead conversation data — deleted after 12 months
- Studio account data — deleted 12 months after account closure
